Introduction

Preparation: The Backbone of a Smooth Mobile Recording Session

Operating a mobile recording studio involves a unique set of challenges, from transportation logistics to technical engineering. In this post, we’ll focus on the preparation required to ensure your mobile studio setup runs smoothly on location. (We’ll delve into the engineering side in a later series.)

Transportation and Logistics

Careful planning is essential for managing everything from permits and road closures to ensuring reliable Wi-Fi connectivity. Safely transporting our high-tech trailer to and from each location is always a priority, as it requires careful handling to prevent damage and ensure everything functions correctly upon arrival.

Steps Upon Arrival

Here’s a step-by-step outline of what we do when we arrive on location:

1.Trailer Arrival:

The trailer is parked, leveled, and stabilized. We use rubber mats between stabilizing jacks and the ground to minimize vibrations and guard against “low hum” interference.

2. Power Up:

If there is access to “clean” house power, we use it. Otherwise, we rely on our 6500w Honda Whisper generator, which provides inverter power clean enough for sensitive electronics. And of course, it’s crucial to make sure the generator is fully fueled.

3. System Startup:

Power up the trailer’s internal systems and ensure they are operational. Start the computer, check video signals on all monitors, and confirm the A/C is working.

4. Wi-Fi Connection:

Establish reliable internet access. We’ll cover this in more detail below in the Wi-Fi checklist item.

5. Engineer’s Sign-off:

After confirming that everything is in top condition, the engineer gives the final thumbs up, and the setup is ready for the talent.

Proper preparation is the key to smooth and successful productions. Throughout this series, we’ll explore essential checklists and tips for on-location sound recording. From equipment maintenance to logistics, we’ll ensure every aspect of your project runs seamlessly.

Logistics Checklist

  • [ ] Wi-Fi: Ensure stable and reliable internet access.
  • [ ] Engineer: Confirm availability and readiness of the on-site engineer.
  • [ ] Insurance: Verify coverage for equipment and liability.
  • [ ] Weather: Check weather conditions and prepare contingencies.
  • [ ] Noise: Scout the location for potential noise disruptions.
  • [ ] Site Scout: Visit the location in advance to identify any issues.
  • [ ] Zoom: Confirm Zoom setup and connectivity (for remote collaborations).
  • [ ] Microphone: Test and verify microphone setup and positioning.
  • [ ] Mechanical: Ensure all mechanical parts and systems of the trailer are in working order.
  • [ ] Traffic: Account for traffic and transport logistics.
  • [ ] Amenities: Confirm availability of essential amenities (restrooms, seating, etc.).
  • [ ] Sanitization: Prepare and check sanitization supplies and protocols.

The Rewards of Overplanning

While overplanning might seem excessive, it can save a lot of headaches in the long run. A successful recording session hinges on thorough preparation, and that starts from the very first call with the client. Whether it’s arranging late-night planning meetings or double-checking every detail, that extra effort ensures that when the red recording light goes on, everything is ready to shine.

Technical and Engineering Checklist

In addition to logistical planning, a strong technical setup is crucial. Here are some key areas to focus on:

  • [ ] Video: Test all video equipment and connections.
  • [ ] Cabling: Inspect and secure all connections.
  • [ ] Preventive Maintenance: Regularly check and maintain all equipment.
  • [ ] Backup: Have backup equipment and power solutions on hand.
  • [ ] Delivery: Ensure the final product can be delivered seamlessly.
  • [ ] Zoom Audio Requirements: Confirm that Zoom or other remote collaboration tools are properly configured for audio capture.
